Administration is important, but it's also frustratingly time-consuming. So I automate. Correction - I'm a junkie when it comes to testing new tools and automating administrative tasks. Here is my latest overview of what I have recently tested and am satisfied with:

  • Board minutes and notes taking: otter.ai  can be integrated with Zoom, and will automatically transcribe the video or voice recording, assign tags to the conversation and narrate who said what. There is a free version that's more than enough. (I also tested Temi, and Otter is better). NO more meeting minutes.
  • Buffer is a social media scheduling and analytics tool, I and my team use it for scheduling all  LinkedIn, Facebook and Instagram posts and viewing performance analytics.  Free version is sufficient. (I also tested HootSuite and did not find it quite as intuitive).
  • Email automation: I use Drip and I really like it, it allows tagging, segmenting, complex rules (if => then => exclude => until, etc), filtering  your audience, automated reporting and surveys in the most easy way possible (and for the record, I'm blond, impatient and rarely read tech manuals).  Drip also works well with Leadpages (Drip is acquired by Leadpages) and if you don't know Leadpages, they allow you to quickly create pages with opt-ins, event registration, announcements, downloads, video replays, checkouts  or other pages where you expect the user to take just one action and not get distracted by any kind of navigation bars, menus or banners. I started with 49 USD per month package and it's totally worth it. Another good option for email automation is ConvertKit, and the price starts at 29 USD per month. Just avoid MailChimp (IMHO) and you are going to be fine.
  • I also registered for a free version of HARO  which is a platform where journalists and reporters search for sources, and if you provide a good information to a reporter, you can get bit media links to your website, or can even secure an interview or podcast appearance. You can register to receive notifications based on topics of your choice (e.g. tech, finance, medicine) and then it's up to you if you'd like to respond. I think it's a great idea for organic traffic. During my first week after sign up, I secured a referral with a link to my profile and my company website, helping a reporter with article about how to prevent identify theft - https://learn.g2.com/identity-theft. It took me literally 2 minutes to write a response,  and I'm happy with the outcome.
  • I'm currently testing Mention for social media and online links and mentions monitoring (also, free version) - since Google alerts are a bit repetitive and imprecise. Funnily enough, Mention found the aforementioned article about identity theft within minutes from publication ๐Ÿ˜‰
  • And finally - I told you before how I never liked Asana or Trello and even had my doubts about Jira - I think I may have found a cool and simple  project management tool that really feels easy and intuitive - it's https://workflowy.com/. I'm testing the free version now and it looks amazing, and the Pro version is just 40 EUR a year or 5 USD a month. I like that it's a simple never-ending document with lots of tags, where everything is in one place and you don't need to jump between navigation panels, copy-paste links or assign deadlines in a million of different tabs ๐Ÿ˜‰
